Changing a Treatment Price (Discounts)

There can be a number of cases and reasons why, as a practitioner, you’d want to charge a patient a different amount than you would normally charge them.

So let’s say Dr. Kat Coleman normally charges $50 for a subsequent visit, but Lily is a friend, and she’s going to give a special discount of $30. There’s two main ways of changing the price in Jane:

1. Change an Individual’s Invoice

The first option is to change an individual invoice. To do this, you will need to manually override the invoice.

Here’s how:

  • First, you need to arrive the visit.

  • Once you arrive the visit, Jane creates the invoice.

  • Now, if you go to the billing info section you’ll notice now there is a link to the patient’s invoice that you can click on.  

  • As soon as you go there – as long as you haven’t paid for the appointment – you can change the price. So with our example above, you’d want to type in $30, click save and voila – now you’ll only charge Lily $30 for the invoice.

This is best if you are just doing a one-off change or a special one-time deal for Lily, and you just want to quickly change the invoice.

2. Schedule a Price Change on a Regular Basis

You can also quickly set up an adjustment to do a price change on a regular basis.

Let’s say that you’ve got a special “friends and family” $20 discount that you give to a number of people and you want to do that every time.

The first thing you have to do in Jane is set up an adjustment to create that discount. * Go to settings and scroll down to “Adjustments.”  

  • Jane pre-defines a few adjustments for you. You can either use those exactly as they are set up or change them to suit your needs.

There are 3 options you can choose from:

  • Manual Override to Price You can set a manual override which discounts the invoice by a specific price every time.

  • Percent Discount You can discount the invoice by a set percent. By default, Jane is set to discount by 50%, but you can adjust that to fit the needs of your clinic.

  • Custom Discount Amount Or you can change the predefined adjustment “Friends and Family Discount” from 50% off to something else that suits the particular situation, such as a unique dollar amount.

Who’s the Provider of the Discount?

Jane wants to make sure your clinic can do exactly what it needs, under all situations. This includes giving your clinic the power to decide which party provides the discount to the patient. Said another way, you can decide if the discount is provided before the practitioner is paid or after they are paid.

If you want the practitioner to be compensated on the original amount of the treatment, before any discount is applied, here in the “Adjustments” menu, find “Provider of Discount”, and select [insert real button name].

If you want the practitioner to be compensated on the discounted amount, after the discount has been applied, you would choose “Clinic/Staff Member,” which is the most commonly chosen by Jane’s customers.

Adjusting Your Adjustments

Sometimes, practitioners wish to give discounts above and beyond what has been pre-set. This is totally possible in Jane. To do this, you need to:

  • First, apply the discount to the invoice.

  • Next, go in manually and change it to whatever you want.

So if you apply the “Friends and Family” discount, which you set up to automatically apply $20 off every treatment, you can manually go in and adjust that for a particular invoice to be, $25 off – or whatever you like.
